Terms of Service & Rental Agreement
1. Booking & Payment
Reservation Retainer: A 50% non-refundable retainer is required to secure your event date and inventory.
Balance: The remaining 50% balance is due 7 days prior to the event. If booking within 7 days of the event, full payment is required immediately.
Taxes & Fees: Rental charges are subject to California sales/use tax, which will be itemized on your invoice. Packages that include battery-powered electronic equipment (such as our outdoor cinema projector) are also subject to the California Covered Battery-Embedded (CBE) Waste Recycling Fee, a state-mandated fee collected at the point of rental and remitted to the state. Both will appear as separate line items.
2. Cancellations & Rescheduling
Client Cancellations & Rescheduling: The 50% reservation retainer is strictly non-refundable. However, if you need to reschedule and provide notice at least 14 days prior to your original event date, your retainer may be applied toward a new date within 6 months (subject to inventory availability). Cancellations made less than 14 days before the event will result in the forfeiture of the retainer with no rescheduling credit provided.
Weather Safety: If rain or high winds (over 20 mph) are forecasted in the Los Angeles area 24 hours before your outdoor event, we reserve the right to cancel for safety and equipment protection. You will receive a "Rain Check" credit to reschedule your event within 12 months. No refunds or credits are provided for weather issues once the equipment is delivered and set up.
Company Cancellation: In the rare event we must cancel due to equipment failure or circumstances on our end, you will receive a full refund or a Rain Check credit, at your option.
3. Site Requirements & Preparation
Space: The Client must provide a flat, grassy area of at least 22x22 feet for the Bell Tent. The area must be clear of rocks, debris, and pet waste prior to our arrival.
Access: We require clear access to the setup area (side gate width of at least 30 inches). We cannot carry equipment up more than 3 stairs unless previously arranged.
Underground Utilities: The Bell Tent is secured using heavy-duty stakes driven into the ground. The Client is responsible for marking all underground sprinkler lines, cables, and utilities prior to setup. Pillowmoon Parties is not liable for damage to underground pipes or cables that were not clearly marked.
4. Equipment Care & Damage
Prohibited Items: No smoking, vaping, open flame, candles, or sharp objects are allowed inside the tents, on the rugs, or near the screens.
Food and Drink: Guests are welcome to enjoy food and drinks at the event. To protect the soft goods, please keep red wine, coffee, juice, soda, and other staining beverages off the beds, bean bags, pillows, blankets, and rugs. The Client is responsible for any cleaning or replacement fees from staining as outlined in this Agreement.
Electronics Care: The Client must ensure all electronic equipment is kept dry, secure, and protected from theft overnight.
Security of Equipment: The Client is responsible for the security and supervision of all equipment from delivery until pickup, and is liable for loss or theft during the rental period.
5. Liability & Safety
Supervision: Pillowmoon Parties provides the equipment only. The Client (parent/guardian) is responsible for the supervision and safety of all children and guests at all times.
Assumption of Risk: The Client acknowledges that the use of camping equipment, tents, and lighting involves inherent risks. Pillowmoon Parties assumes no liability for injuries, accidents, or allergic reactions that occur during the rental period.
6. Image Release
We love to show off your beautiful parties! Unless you explicitly request otherwise in writing, Pillowmoon Parties reserves the right to take photos of the setup (without children present) for marketing and social media purposes.
